Event Policies

What to know before you book.

The complete event policies for Venue 209 — designed to keep your day running smoothly and protect everyone involved. Questions about any of this? We're always happy to talk it through.

i.
Alcohol & bar service

Bar service through Cypress Lounge.

No outside alcohol is permitted at any event unless otherwise approved by ownership.

For individual day rentals utilizing bar service through Cypress Lounge, the following beverage minimums apply:

  • Weekday rental — $250 beverage minimum
  • Weekend rental — $450 beverage minimum

If the minimum is not met during the event, the remainder will be charged to the renter following the event. The Silver, Wedding, and Gold weekend packages each include an optional dedicated bartender with no beverage minimum.

Catering & kitchen

Outside catering, fully supported.

Venue 209 does not provide food. We support outside catering and are happy to provide a kitchen area for food storage and prep, including:

  • 3-door refrigerator
  • Alto-Shaam warming oven
  • Three-hole sink
  • Space for prep work
Plates, silverware, napkins, and other utensils are not provided by Venue 209. Please coordinate these with your caterer or plan to bring your own.

Included with rental

What every rental comes with.

  • Tables and chairs
  • Basic setup
  • Access to the prep/kitchen area — warming oven, fridge, sinks
  • Outside catering allowed
  • Access to bar service through Cypress Lounge
  • Access to customizable photo booth area
iv.
Security deposit

A $200 refundable deposit.

A refundable security deposit of $200 is required to reserve the event date. The deposit will be refunded following the event, pending no damages or excessive cleaning requirements.

Cancellations

Our cancellation policy.

  • 90+ days before event — payment refunded in full
  • 30-89 days before event — 50% of payment refunded
  • Less than 30 days before event — all payments are non-refundable
vi.
Decorations & venue use

Make the space your own.

The space is built to be made your own. That said, the following are prohibited unless approved in writing:

  • Nails, screws, or permanent wall attachments
  • Glitter or confetti
  • Open flames or candles without approval
  • Smoke machines or pyrotechnics

Cleaning responsibilities

Leaving the space as you found it.

The renter agrees to remove all personal items, decorations, and brought-in materials at the conclusion of the event. Excessive cleaning may result in additional charges or partial forfeiture of the security deposit.

A detailed cleaning list will be provided at booking so there's no guesswork about expectations.

viii.
Liability

Renter responsibility.

The renter assumes responsibility for all guests attending the event and agrees to hold Venue 209 and Cypress Lounge harmless from liability arising from the event, including damages, injuries, theft, or loss caused by guests or vendors associated with the event.

ix.
Right to refuse or end event

For everyone's safety.

Venue 209 and Cypress Lounge reserve the right to end any event without refund if guests engage in:

  • Illegal activity
  • Violence or threats
  • Underage drinking
  • Excessive intoxication
  • Property damage
  • Unsafe or disruptive behavior
  • Exceeding the maximum occupancy permitted by fire code regulations (110 capacity)
